Terms & Conditions

Payments terms

Unless otherwise agreed in writing from a director of OAKWOOD Training Solutions Ltd, all payments for Training course / services are required at time of booking to reserve the places required. Payments are accepted in GBP only. The prevailing rate of UK VAT will be charged and added unless otherwise specified. All workshops are delivered in the UK.

Clients may seek confirmation from the service provider in advance to ensure that the place on the Training Course they have booked or the service they have purchased meets their clearly stated expectations. Booking confirmations and invoices where applicable will be provided prior to training.

Confirmation of bookings

All bookings made by telephone or email will be followed with a booking confirmation – outlining the course booking, dates, durations and any delegate minimum requirements prior the training commencing.

Delegate Minimum Requirements*:

  • All delegates MUST bring approved ID (driving licence, driver qualification card, driver tacho card or alternatively a passport)
  • Good understanding of written and spoken English
  • Arrive on time for the posted commencing of any booking
  • Be respectful of our trainers, other associates and other attendees at all times

*Failure to meet the delegate requirements as above may result in the course being cancelled for your delegate and no refunds will be payable.

Cancellations of bookings

You may cancel a booking for Training Services / Courses during a cooling off period of 7 days without a penalty and receive a full refund. The only exception to this will be if this is a late or short notice booking for an event that will occur in less than 21 days from the date of purchase. Once this cooling off period has lapsed the following refund policy applies. (Substitution of an alternative named delegate on a Training Course is acceptable at any time, however requests to change a date of a booking are considered as and treated as a cancellation.)

Cancellation of a booking 21 days or more prior to the commencement of the course will incur an administration charge of 25% of the total fee including VAT. For cancellations within 21 days of the event by a customer, 100% of the fee including VAT, will be payable.

There will be no refund available after the completion of any Training Services.

We reserve the right to cancel the course due to circumstances beyond our control.

Once we have taken this decision, we will inform you as soon as reasonably possible and offer a full and immediate refund or alternative training date as preferred by the customer.

This policy explains when and why we collect personal information, how we use it, the conditions under which we may disclose it to others and how we keep it secure. Who has access to your information?

Your information will be shared with DVSA for them to monitor and manage approved centres and the training uploaded to the DVSA recording and evidencing database, and where necessary shared with member state authorities to confirm Driver CPC entitlement abroad.

How is your information used?

We will use your information to:

  • upload completed periodic training hours on the Government’s Recording and Evidencing (R&E) database; you can find out more about how your data is used on that database at https://www.gov.uk/government/publications/driving-standards-agency-privacypolicy/dsa-privacy-policy • complete an attendance certificate;
  • we might provide you with other goods or services to you or seek your views or comments on the services we provide – if you agree;
  • notify you of changes to our services;
  • send you communications which you have requested and that may be of interest to you; We review our retention periods for personal information on a regular basis.

We are legally required to hold some types of information, for example data about your periodic training, to fulfil our statutory obligations for up to seven years, depending on the type of data we will hold your personal information on our systems for: We will retain all data for 7 years.

How can you access and update your information?

The accuracy of your information is important to us. If you would like to access to the data we hold on you please contact: training@oakwood-solutions.co.uk

Alternatively, you can telephone 01275 868 080. You have the right to ask for a copy of the information OTS hold about you.

You have the right to request that the data we hold on you is erased or rectified. For example, if you don’t want us to use your information for views and comments on the services we provide, you can ask to have your contact details removed.
